Hello from ClinicDay

We've been busy putting together ClinicDay 1.1, and we'd like to share what's coming. This is a bigger update than our last post covered, with new clinical tools, more ways to keep in touch with owners, and some welcome improvements to finding your way around the app.

A practice day asks a lot of everyone: reception keeping the diary moving, nurses checking the next treatment, vets reviewing a patient, and someone trying to work out where that delivery went. With 1.1, we're bringing more of those jobs together so the next person can find the context they need.

The update is still awaiting deployment. Think of this as a tour of what's being prepared for version 1.1; connected services will also need their own setup before your practice can use them.

First up: finding your way around

We've given the workspace navigation a rethink. Home, Diary, Clients and Patients stay close to hand, with labelled Clinical, Practice and Administration menus for the rest. The menus work in both themes and on smaller screens, and show where you are without filling the sidebar with every possible destination.

Clients now opens on the directory. The Inbox, Delivery queue and Feedback each have their own space, so looking up an owner doesn't mean scrolling past the messaging tools. Patient records have a more compact header, clearer section groups and safety information that stays easy to find. Stock opens on Products, with Purchasing, Stock control and Setup alongside it.

We've also worked on the small things that interrupt a busy day: record sections and settings can survive a refresh, links can open in another tab, and contextual Back links take you towards the search or record you came from.

A shared picture of the day, and the patients staying overnight

The new digital whiteboard brings today's appointment flow together with admitted patients, pending care tasks and the latest inpatient handover. You can filter by team member or ward, search for a patient or owner, and use a full-screen view for a staff display. It refreshes every 30 seconds and pauses while you're writing a handover.

Inpatients gets a dedicated workspace too. Admissions include a care plan, responsible clinician, ward and cage, isolation precautions and patient alerts. Teams can record observations, handovers, transfers and discharge, with the hospitalisation history available from the patient record.

Treatment schedules support one-off or repeated doses with recorded dose, route, instructions, owner and due time. Each occurrence can be completed with an outcome or cancelled with a reason, and pending treatments appear on the whiteboard. Fluid-balance entries bring intake, output and running totals into a chart. Ward and cage views show occupancy, availability and cleaning status.

Reception also gets a direct Mark missed action in the diary for confirmed or waiting appointments, making it easier to record what happened and start the appropriate follow-up.

More room for theatre planning and anaesthetic records

Surgery theatres now have their own schedule. A booking includes the patient, procedure, surgeon and a separate monitoring colleague, plus preparation and cleaning time around the planned procedure. Checks flag overlapping theatre, patient or team reservations, including shared staff across practices. You can reschedule with a reason and follow the case through theatre, recovery and completion, with booking history retained.

In the patient record, anaesthetic charts bring the assessment, plan, weight, ASA classification and recorded safety alerts together. Staff can add timed observations, drug administrations, events and recovery handovers, then complete the chart with a recovery outcome. Corrections stay linked to the original entries.

These charts support manual recording, including heart and respiratory rates, oxygen saturation, end-tidal carbon dioxide, blood pressure, temperature and anaesthetic settings. Equipment readings aren't imported automatically.

Dental charts, tooth by tooth

Version 1.1 adds dental charts for dogs and cats, with permanent, deciduous and mixed dentition. Choose a tooth to record its status, findings, grades, probing depths, radiograph notes and planned or performed treatment.

An examination can include a summary and follow-up, and corrections preserve the original chart with a reason. Uncharted teeth stay uncharted, so an empty field isn't quietly treated as a normal finding. It's a more useful starting point when another colleague reviews the mouth at the next visit.

Laboratory results with the history beside them

Laboratory has a dedicated workspace and a patient-record section for results, supplied reference ranges, abnormal flags and clinician review. Preliminary, final and corrected reports keep their versions, with original XML and attached PDF reports available alongside them. Reports waiting for review remain visible to the team.

Supported XML imports, PDF attachments and a reconciliation queue help staff deal with results that need checking or matching. Requisitions record tests, specimen details and clinical notes, with a configured gateway or a recorded manual handoff for submission and status tracking. The IDEXX intake workflow also supports associated PDF originals.

Laboratory connections need a validated adapter for the actual service and report format. We'll keep that distinction clear: an intake screen isn't, by itself, a certified native two-way IDEXX connection.

Documents, imaging and consent in the patient record

A new Documents area brings together attachments, imaging studies, consent forms and certificates. Upload supported files, link them to a patient, consultation or study, and retain the originals and correction history. Practices with a compatible PACS can configure a connection to find and preview studies for a verified patient; full diagnostic review stays in the practice's PACS viewer.

Consent forms can start from a practice template or patient-specific wording. Staff review the complete form, then create an expiring signing link for a typed or drawn client signature. The signed PDF retains the wording and signature evidence. Veterinary surgeons can also issue preserved certificate PDFs from reviewed statements.

There are new billed-diagnosis suggestions too. Practice-defined rules can suggest a diagnosis from a matching invoice item, but a clinician must review it before it becomes a provisional problem. A charge never silently becomes a confirmed diagnosis.

Referrals that are easier to pick up again

The referral register keeps incoming and outgoing referrals together with the receiving organisation, specialty, priority, coordinator, appointment details, follow-up and outcome. Search and status filters help the team find what's still waiting, while updates retain who changed the record and why.

When a specialist needs the history, you can draft a referral letter, select the relevant clinical records and laboratory results, add supporting files and record the owner's agreement to share them. Preview the contents, then finalise a preserved letter and transfer package. Selected laboratory reports include their retained original PDFs where available.

The register tracks progress, and the packages prepare documents for your usual secure sharing process. Saving a referral doesn't automatically send it or book a diary appointment.

Refills and stock, with fewer loose ends

Prescription refills now have a dashboard connecting authorisation, owner requests, veterinary approval and supply. Owners can use an expiring prescription-specific link, and authorised vets review requests against quantity, repeat and expiry limits. Approval reserves the supply; a declined or expired request releases it. Local dispensing records the batch and stock deduction, while configured supplier routes support prescription handoff.

Stock management expands with purchase orders, partial deliveries and back orders, approved stocktakes, locations and bins, expiry review, recall quarantine and a controlled-medicine movement register. Medication supplies, consultation treatment products and refill dispensing can link to audited stock movements, with expired and quarantined batches blocked from supply.

There are supplier catalogue imports, printable purchase orders and labels, keyboard-style barcode scanning and a complete register CSV export. Compatible supplier gateways can support direct ordering once configured. Printed prescriptions also use the active practice name and show their prescription number.

Client conversations the whole team can follow

The shared inbox brings connected email, SMS and WhatsApp conversations into Clients, with an owner's threads also available in their record. Assign a conversation, link it to a patient, use a saved reply, mark it unread for the team, or close it when the work is done. A new reply reopens the thread.

Email supports outgoing attachments and access to received files. Delivery history keeps provider acceptance, delivery and available open or read signals separate from the team's unread flag. WhatsApp replies use the provider's 24-hour service window; saved practice replies don't enable proactive messages outside it.

Discharge instructions get an email and PDF preview before consultation closure, supporting attachments and practice branding. Headings and default messages are available in English, French, German, Spanish and Polish. Clinical instructions remain exactly as written, with any translation supplied and checked by the clinician.

A helping hand with routine follow-up

The automation builder adds options for missed appointments, new clients, overdue invoices, clinical alerts, low stock and refill requests. Supported actions include follow-up tasks, team notifications and client emails, with delays, quiet hours and applicable consent, species or invoice-value conditions.

Message workflows include welcome messages, missed-appointment follow-ups, overdue invoice reminders, vaccination reminders, clinical follow-up and refill updates, alongside confirmations, appointment reminders, feedback invitations and discharge instructions. You can pause a rule, preview it without sending anything, and review its execution history.

The update also includes a background message worker and a separate retention process. Automatic delivery needs the worker running and the relevant providers configured; creating a rule doesn't start a sending service on its own.

More ways to manage the account side of practice life

Commercial & finance brings together itemised invoices, line-level tax and discounts, split payments, allocations across several household invoices, prepayments, credit notes and refunds. With a configured Stripe account, practices can create payment links, use hosted checkout or send a payment to a supported configured smart reader.

Health, subscription and discount plans add recorded enrolments, terms and benefits, with supported monthly Stripe billing and failed-payment recovery options. Scheduled catalogue prices, quantity tiers and eligible plan pricing give teams more control over charges. Estimates and invoice entries can also start from the shared catalogue.

End-of-day reconciliation records method totals, counted cash and any variance. Aged-debt views keep promises, disputes and follow-up dates beside the balance. Accounting CSV exports prepare the figures for import; they aren't a direct Xero or QuickBooks connection.

Insurance claims have a register for direct claims and owner reimbursements, with policy references, treatment dates, claimed, approved and paid amounts, decisions and follow-up. Finance can record an approved direct-claim settlement against its linked invoice. Submission to an insurer remains a separate step.

For teams working across practices

Group centre brings together reporting, client and patient search, shared catalogues and prices, templates and bundles, referrals, stock transfers, staff administration, audit information and branding. Practice balances stay separate, and what someone can see still follows their access at each practice.

Group reports include appointments, invoices and recorded payments for a chosen period, alongside current counts and outstanding balances, with CSV export. Search opens the record in its practice context, helping colleagues move between sites without losing track of where they're working.

Connections and sign-in, with clearer controls

Settings gains an Integrations area for practice-scoped API keys, signed webhooks, tests and recent activity. Administrators can choose access scopes, set an expiry and revoke a key. The read API covers permitted patient, client, appointment and invoice information; outbound notifications let a connected service know when a record changes.

This gives compatible services a connection point, with a delivery worker for webhooks. Named provider adapters still need their own agreed setup, and the catalogue distinguishes existing gateways from connections that remain to be built.

Two-factor sign-in can now be required by staff role, using authenticator codes and one-use recovery codes. For colleagues working across practices, the strictest active requirement applies. Practices can prepare enrolment and recovery arrangements before switching on a role requirement.

Some quieter improvements, too

We've reduced the JavaScript needed to open the workspace and cut repeated work in patient lists, reporting, search and saves. Secondary screens load as you need them. These are improvements under the bonnet rather than a promise about every connection speed, but they give the growing workspace a lighter starting point.

The website has had some attention as well: clearer feature pages, sample workspace screenshots, a dedicated contact page, and downloadable evaluation, migration and stock-check worksheets. Veterinary guides and PMS announcements now have separate homes in the blog.
