Start with the workflows your team needs

A veterinary practice management system, or PMS, connects the administrative and clinical work of a practice: appointments, client and patient information, consultations, invoices, stock and reporting. The right evaluation starts with the tasks your team needs to complete, rather than a long list of feature names.

Ask reception, nursing, veterinary and management colleagues to identify one recurring difficulty each. Turn those into scenarios a supplier can demonstrate. For example, book a recheck, review the previous consultation, record the visit and assign a follow-up call.

Compare every system against the same scenarios

Use the same scenarios for each product so the comparison stays useful. Record whether a capability was demonstrated, needs configuration or remains unconfirmed. Separate what is available now from a supplier's future plans.

  • Appointments: can the team coordinate availability, resources and changes?
  • Records: can colleagues find the history and follow signed-note corrections?
  • Finance: how are invoices, payments and balances recorded?
  • Stock: how are quantities, reorder levels and expiry details reviewed?
  • Reporting: what sources, filters and exports support your management needs?

Ask about the work outside the demonstration

A product demonstration does not establish what a migration, integration or rollout will include. Request written confirmation of supported imports, exclusions, responsibilities, training and support arrangements. Ask who validates the migrated records and how the practice will operate during a changeover.

For integrations, ask the supplier to show the exact data flow you need. Receiving a laboratory file, linking it to a patient and displaying an interpreted result are different capabilities. Do the same for payment processing and accounting connections.

Questions to discuss before getting started with ClinicDay

Check security and total cost

Ask who hosts the system, who can access practice information, how backups are restored and how records can be exported when the service ends. Confirm the contractual and data-protection arrangements for your deployment before using live records.

Compare recurring charges with setup, migration, training, integration and exit costs. ClinicDay costs £50 per month. Enterprise organisations should contact the team to discuss their requirements.

Keep a short decision record showing which requirements were demonstrated and which need resolving. It gives the whole team a clearer basis for choosing a system.
